How it runs

AI SMS & Email Running

Replies are read and routed

  1. Something happens

A missed call, a new lead, a quote sent, a job finished or a service coming due.

  2. The AI checks, then writes

Consent and opt-outs first, then a short message in the tone you approved.

  3. Sent from your number or inbox

Texts from your registered number, emails from your own domain, logged in your CRM.

  4. Replies are read and routed

Bookings go to the calendar, questions get answers or a person, and STOP ends everything.

Hi, we want to finish our basement, about 800 sq ft. Hoping to get a rough price.

  5. AI assistant

Thanks. Prices come from our estimator, Marco, so he can give you a proper range on a short call. When are you hoping to start, and is a bathroom part of it?

What it replaces

Off your plate.

  • Missed calls that never hear back
  • Web leads waiting until tomorrow for a first reply
  • Quote follow-ups that live in someone’s head
  • Past customers who only hear from you when they call first
How it works

Step by step.

  1. 01

We map the follow-ups you mean to send

Missed calls, new enquiries, open quotes, service reminders. For each we agree the trigger, timing, channel and who may receive it.

  2. 02

    We set up sending properly

Texts go from a registered number: A2P 10DLC or toll-free verification in the US, a verified toll-free number or short code in Canada. Email goes from your own domain with SPF, DKIM and DMARC in place.

  3. 03

AI writes; you decide what sends on its own

Messages are written from your CRM record, in a tone you sign off once. Text-backs and reminders send automatically. Anything that quotes a price or answers a complaint waits for a person.

  4. 04

Replies get handled, not just logged

It books or reschedules, answers from your playbook, sets a reminder for “maybe in spring” and hands anything tricky to your team. A STOP ends messaging at once.

Works with the tools you already use

  • Your business number (text-enabled)
  • Twilio
  • Zernio (SMS numbers and inbox)
  • HubSpot
  • GoHighLevel
  • Follow Up Boss
  • Jobber
  • Housecall Pro
  • Gmail / Google Workspace

Guardrails

You stay in control.

Consent before every message

Each contact carries a record of how and when they agreed to hear from you. Under CASL, an enquiry gives implied consent for six months and a purchase for two years. In the US, marketing texts need prior express written consent under the TCPA. Sequences are designed around both.

STOP means stop

Every message names your business and says how to opt out; emails add your mailing address, as CASL requires. STOP, UNSUBSCRIBE and “please don’t text me” are all recognized, and the opt-out is logged at once, well inside the 10 business days CASL and the TCPA allow.

It says it’s an AI, and hands over

In a conversation, it says it’s an assistant. Prices, complaints and anything outside your playbook go to a person. Nothing that quotes a price is sent without approval.

Health details stay out of texts

For clinics, messages stick to dates, times and logistics. We minimize what’s stored, design around PIPEDA, act as your agent under PHIPA, and use vendors that sign a HIPAA business associate agreement for US practices.

In practice

What it looks like.

Example scenario · illustrative, not a client result

A five-person plumbing company

One office manager, four plumbers. Each week: about 12 missed calls, 15 new leads, 10 open quotes and 20 finished jobs. The AI sends and handles those follow-ups.

About 3–4 hours a week back for the office manager (estimate)

The math
  • Missed-call text-backs: 12 a week × ~6 min (check voicemail, call or text back, log) ≈ 72 min
  • First replies to new leads: 15 a week × ~5 min ≈ 75 min
  • Quote follow-ups: 10 open quotes × 2 nudges × ~4 min ≈ 80 min
  • Post-job check-ins and service reminders: 20 a week × ~2 min ≈ 40 min
  • Total ≈ 267 min/week ≈ 4.5 h/week
  • Less 20% for overlap and ramp-up ≈ 3.6 h/week

Estimates use typical volumes and include a 20% allowance for overlap and ramp-up. Your audit measures the real numbers.

Why it matters

The follow-up nobody has time to send

Most small businesses don’t lose work at the first conversation. They lose it in the quiet after. A call comes in while everyone’s on a job and nobody calls back until evening. A web lead waits overnight. A quote goes out on Monday and nobody checks in.

Each message takes minutes, but together they take an afternoon, and on a busy day they go first. Generic blasts don’t fix it: they get ignored, flagged or sent to people who never agreed.

What changes with AI SMS and email

Each moment that should trigger a message now does. A missed call gets a text within seconds. A new lead gets a reply that uses their name and what they asked about. A quote gets a check-in on day two and day five, and the sequence stops the moment they answer.

The AI also reads the replies. “Can you come Thursday?” becomes a booking. A question gets an answer from your playbook or goes to your team. “Not now” sets a reminder for later.

It pairs naturally with an AI receptionist that answers the call in the first place, and with AI quotes drafted from your own price book.

Sent from the tools you already use

Messages go out from the CRM or job software you already run, so every text, email and reply sits on the customer’s record. Where it helps, we set up numbers built on Zernio so texts land in the same team inbox as your social messages.

We start with missed-call text-back and first replies to new leads, where the gap is easiest to see. Quote follow-ups and reminders come next, once you’ve read a few weeks of real conversations.

How we roll it out

Audit. Build. Run.

Every engagement is scoped on a call. You’ll know the cost before anything is built.

  1. 01

    Audit

    • Follow-up map: every message you mean to send, and which ones slip
    • Consent review of your forms, CRM fields and contact list
    • Sending readiness: number registration and domain authentication
  2. 02

    Build

    • Triggers, timing and templates in your tone, tested end to end
    • Text-back, lead replies and sequences connected to your CRM
    • Opt-out handling, approval queue and reply routing switched on
  3. 03

    Run & Optimize

    • Monthly review of replies, opt-outs and hand-offs
    • Template and timing updates as offers, seasons or hours change
    • Plain-English report: messages sent, replies, bookings and opt-outs
FAQ

Questions owners ask about AI SMS & Email

Last updated October 7, 2026

Can I text someone who called and hung up without leaving a message?

A short reply about their own call is generally treated as a response to their enquiry, and it names your business and includes STOP. Anything beyond that conversation, like offers or next season’s reminders, follows the consent rules for that message. This isn’t legal advice.

Can the texts come from my existing business number?

Often, yes. Many landline and VoIP numbers can be text-enabled without changing how calls work; if not, we set up a new number. Either way it’s registered, because carriers filter unregistered business texts.

What happens when someone replies STOP?

Messaging to that contact stops straight away. They get one short confirmation, and the opt-out is written to your CRM, which every sequence checks before sending.

Will the follow-up emails land in the inbox?

We set up SPF, DKIM and DMARC on your domain and send one-to-one follow-ups from a real address at a human pace. Bounces and opt-outs are kept off your lists.

What does AI SMS and email automation cost to run?

It depends on message volume, the number of sequences and which CRM and phone setup we connect, plus carrier fees. We scope it on a short call and give you a fixed build price and a clear monthly running cost before anything is built.
